Abstract

Arsip merupakan salah satu hasil dari kegiatan yang dilaksanakan oleh sebuah perusahaan atau instansi. Semakin banyak kegiatan yang dilakukan, semakin banyak pula arsip yang akan diciptakan. Seiring bertambahnya volume arsip, maka akan tercipta jenis arsip inaktif yang jarang digunakan lagi untuk kepentingan sebuah administrasi. Namun, tidak menutup kemungkinan arsip inaktif tersebut akan dibutuhkan kembali. Biro Sekretariat Perusahaan telah melakukan pelestarian arsip dengan melakukan alih media arsip manual menjadi arsip elektronik pada web internal perusahaan, namun penggunaannya hanya terbatas pada penyimpanan surat keluar direksi dan bercampur dengan semua Biro dan Divisi PT Barata Indonesia (Persero) karena tujuan utama dari web tersebut adalah untuk permintaan nomor surat direksi. Oleh karena itu, dapat dikatakan bahwa pengelolaan arsip pada Biro Sekretariat masih dilakukan secara manual sehingga berdampak pada pelaksanaan administrasi yang tidak efisien sehingga menyebabkan terhambatnya proses temu kembali arsip karena banyaknya arsip yang disimpan. Dengan adanya kemajuan teknologi, maka penyusunan tugas akhir ini bertujuan untuk memanfaatkan aplikasi perangkat lunak Microsoft Access dalam pengelolaan arsip inaktif agar dapat mempermudah pencarian informasi arsip menjadi lebih efisien waktu. Metode penyelesaian yang digunakan dalam penyusunan tugas akhir ini yaitu Waterfall yang memiliki tahapan Requiremnet, Design System, Implementation, Verification. Hasil tugas akhir ini berupa perancangan aplikasi yang telah dibuat untuk dimanfaatkan sebagai media arsip elektronik pada Biro Sekretariat PT Barata Indonesia (Persero).

English Abstract

Archives are one of the results of activities carried out by a company or agency. The more activities carried out, the more archives will be created. As the volume of archives increases, an inactive archive type will be created that is rarely used anymore for administrative purposes. However, it is possible that the inactive archive will be needed again. Corporate Secretariat Divison has carried out archive preservation by converting manual archive media into electronic archives on the company's internal web, but its use is limited to storing directors outgoing letters and mixing with all the Divisions of PT Barata Indonesia (Persero) because the main purpose of the web is to request the letter number of the directors. Therefore, it can be said that archive management at the Corporate Secretariat Divison still done manually so that it has an impact on inefficient administrative implementation which causes delays in the archive retrieval process due to many archives stored. With advances in technology, the preparation of this final project aims to utilize the Microsoft Access software application in managing inactive archives in order to make it easier to find archive information to be more time efficient. The completion method used in the preparation of this final assignment is Waterfall which has the stages of Requiremnet, Design System, Implementation, Verification. The result of this final project is in the form of designing an application that has been created to be used as an electronic archive media at the Corporate Secretariat Divison of PT Barata Indonesia (Persero).
