Abstract

Filkom Apps merupakan platform berbasis web yang dikembangkan untuk memenuhi berbagai keperluan civitas akademika di Fakultas Ilmu Komputer Universitas Brawijaya. Filkom Apps itu sendiri memiliki beberapa fitur untuk masing-masing civitas akademika FILKOM UB. Salah satu keperluan bagi dosen adalah mengenai pengusulan surat tugas kegiatan dosen. Untuk mencari permasalahan dari pemodelan proses bisnis pengusulan surat tugas kegiatan dosen yang dibuat menggunakan Business Process Model and Notation (BPMN), analisis tematik digunakan dan menemukan delapan permasalahan. Permasalahan yang ditemukan meliputi lamanya proses penyusunan dan pemrosesan proposal, lamanya proses untuk menentukan rincian dana kegiatan dan mencairkan dana, tidak meratanya beban kerja dosen, struktur kepanitiaan yang tidak ideal, rentang waktu pengajuan proposal kegiatan yang tidak bisa dilakukan dengan mendadak, dan kurang idealnya kegiatan yang akan dilaksanakan. Permasalahan yang telah diidentifikasi tersebut kemudian dipetakan ke dalam proses bisnis yang telah dibuat untuk memperoleh gambaran yang lebih jelas dan selanjutnya dianalisis menggunakan teknik 5 Why’s Analysis untuk mendapatkan akar permasalahan. Kemudian permasalahan dipetakan ke dalam matriks risiko untuk memperoleh tingkatan risiko dari masing-masing permasalahan. Hasil pemetaan permasalahan ke matriks risiko menunjukkan bahwa terdapat satu permasalahan yang memiliki tingkat risiko 1 yaitu tidak meratanya beban kerja setiap dosen, enam permasalahan yang memiliki tingkat risiko 2 yang salah satunya adalah struktur kepanitiaan yang tidak ideal, satu permasalahan yang memiliki tingkat risiko 3 yaitu rentang waktu pengajuan proposal kegiatan yang tidak bisa dilakukan secara mendadak, dan tidak ada permasalahan yang memiliki tingkat risiko 4.

English Abstract

Filkom Apps is a web-based platform developed to meet various needs of the academic community at the Faculty of Computer Science, Brawijaya University. Filkom Apps itself has several features for each FILKOM UB academic community. One of the needs for lecturers is regarding proposing assignment letters for lecturer activities. To find problems in modeling the business process of proposing lecturer activity assignment letters created using the Business Process Model and Notation (BPMN), thematic analysis was used and found eight problems. Problems found include the length of the proposal preparation and processing process, the length of the process for determining details of activity funds and disbursing funds, the uneven workload of lecturers, the committee structure that is not ideal, the time span for submitting proposals for activities that cannot be carried out suddenly, and the lack of ideal activity. which will be implemented. The problems that have been identified are then mapped into business processes that have been created to obtain a clearer picture and are then analyzed using the 5 Why's Analysis technique to get the root of the problem. Then the problems are mapped into a risk matrix to obtain the risk level for each problem. The results of mapping the problems to the risk matrix show that there is one problem that has a risk level of 1, namely the uneven workload of each lecturer, six problems that have a risk level of 2, one of which is the committee structure that is not ideal, one problem that has a risk level of 3, namely the range time for submitting proposals for activities that cannot be carried out suddenly, and there are no problems that have a risk level of 4.
