Abstract

Penelitian ini bertujuan untuk mengetahui bagaimana penerapan filling system campuran dan penemuan kembali pada arsip DO di bagian admin penjualan pada PT Astra International Tbk Auto2000 Waru. Manfaat dari penerapan filling system campuran ini untuk memudahkan dalam penemuan kembali arsip dinamis. Penelitian dilakukan menggunakan metode deskriptif dengan pendekatan kualitatif. Adapun teknik pengumpulan data yang digunakan, yaitu observasi, wawancara, studi pustaka. Dari hasil penelitian disimpulkan bahwa : (1) Penerapan filling system campuran pada arsip DO pada admin penjualan PT Astra International Tbk. Auto2000 Waru menggunakan filling system campuran yaitu sistem kronologis dan sistem numerik dengan 4 langkah yaitu a) Registrasi; b) Mengurutkan; c) Memasukan arsip ke ordner; d) Menata/meletakkan, penataan arsip hanya ditumpuk pada lantai ruang admin penjualan (2) Penemuan kembali arsip DO harus megetahui terlebih dahulu nomor DO dari sistem Toyota yang bernama TDMS (Toyota Dealer Management System) setelah mengetahui nomor DO petugas mencari pada tumpukan ordner arsip DO, lalu petugas mencari dokumen yang dibutuhkan. Hambatan pengelolaan arsip di admin penjualan PT Astra International Tbk Auto2000 Waru; kurangnya rak arsip untuk penataan arsip, kurangnya tenaga ahli yang khusus untuk menangani arsip, penemuan kembali arsip masih dengan cara manual sehingga membutuhkan waktu sedikit lebih lama untuk penemuan kembali arsip. Solusi yang ditawarkan; penambahan rak arsip, penambahan petugas khusus kearsipan, perlu adanya digitalisasi arsip.

English Abstract

This study aims to find out how the application of a mixed filling system and retrieval in DO archives in the sales admin section at PT Astra International Tbk Auto2000 Waru. The benefit of implementing this mixed-filling system is to facilitate the retrieval of dynamic archives. The research was conducted using a descriptive method with a qualitative approach. The data collection techniques used observation, interviews, and literature study. From the results of the study, it was concluded that: (1) Application of a mixed filling system in DO archives at the sales admin of PT Astra International Tbk. Auto2000 Waru uses a mixed filling system, namely a chronological system and a numerical system with four steps, namely a) Registration; b) sort; c) Entering archives into the ordner; d) Arranging or placing, the arrangement of archives is only stacked on the floor of the sales admin room. (2) Finding the DO archive must first know the DO number from the Toyota system called TDMS (Toyota Dealer Management System) after knowing the DO number the officer searches the stack of archive orderers DO, then the officer looks for the documents needed. Barriers to managing records in the sales admin of PT Astra International Tbk Auto2000 Waru; lack of archive shelves for archive arrangement, lack of special experts to handle archives, archive recovery is still done manually so it takes a little longer to retrieve archives. Solutions offered; addition of archive shelves, the addition of special archiving officers, the need for digitization of archives.
